Important! Office 365 Single Tenant Migration
When are we scheduled to migrate?
Minneapolis College migrated to the Office 365 single tenant July 12th-14th, 2019.
What's actually going to change for me?
Our current Office 365 functionality will remain the same after the transition. However, immediately following the migration, you will be required to use a new username to log into your Minneapolis College email, OneDrive for Business, Skype for Business, and other Microsoft Office 365 services.
Your new username will be:
- Students Username: StarID@go.minnstate.edu (Example Username: ab1234cd@go.minnstate.edu)
Your username is to access your email only. This is not your email address. - Student Email Address: firstname.lastname@go.minneapolis.edu
- Employees username: StarID@minnstate.edu (Example Username: ab1234cd@minnstate.edu)
Your username is to access your email only. This is not your email address. - Employee Email Address:firstname.lastname@minneapolis.edu
- Passwords: Your StarID password
Did my email address change?
Students - YES
Students will now have the firstname.lastname@go.minneapolis.edu email naming convention. However, students who were migrated will still have their StarID@go.minneapolis.edu address as an alias and emails sent to it will arrive in the new inbox.
Current students will have their emails show up in the Outlook Global Address Book the same as employees do. There will be an option to sort and view only employee email addresses. Students may opt to be hidden from the Outlook Global Address book. Student Services will need to be notified by the student to make this adjustment in ISRS.
Employees - NO
No, your email address will remain the same. It is only your username you use to log into and access your email that changed.
Note: Logging into D2L, campus computers, eServices and non Office 365 applications will stay the same.
Email naming format for emails with a number at the end
Numbers are added to the end of an email address if someone already has an email address with the same first and last name. Currently our naming format is firstname.lastname#@minneapolis.edu. Moving forward it will be firstname.lastname.#@minneapolis.edu or for students they will be firstname.lastname.#@go.minneapolis.edu. Existing email addresses with a number at the end will have their current email set up as an alias and emails sent to it will arrive in the same inbox. Moving forward students and employees will have the new naming convention firstname.lastname.# applied right away.
How do I know what my email address is?
- Go to https://portal.office.com/account/#personalinfo and log in using your Office 365 username.
- You can log into your email and click on Personal Info in Your Account. To get to Your Account click on your initials or profile picture in the top right corner after you have signed into your email.
- Your email address will also be listed in Navigate. Log in using your StarID and password.
- Go to the Office 365 Contact tab when you log into StarID Self Service. You can also send yourself an email and search for your name in Outlook. Log in using your StarID and password.
Will my password change?
No. You will continue to use your StarID password. However please note that your StarID password expired every 180 days.
Students who were migrated
Students who have been a current student in Summer 2018 - Current term will have their email address, emails, OneDrive files, and calendar items migrated automatically.
Anyone that has been a current student between Summer of 2016 - Spring of 2018 will only have their email address migrated but none of the email content will be migrated. OneDrive files will migrate.
Students who had their email migrated and that had the StarID@go.minneapolis.edu will still have this as a working alias and emails sent to it will go to their current mailbox.
Student who were not migrated
Anyone enrolled before Summer of 2016 did not have their email migrated at all but will get their firstname.lastname@go.minneapolis.edu email updated upon returning to the college. These students will not have the StarID@go.minneapolis.edu email addresses as an active email or an alias because they were not migrated but will get the new email firstname.lastname@minneapolis.edu if they are ever affiliated to Minneapolis College as an enrolled or admitted student.
Note: Students only have access to their email three years after no longer being a currently enrolled student.
What you are responsible for before and after migration
I can log into my email but my email or OneDrive content is gone.

Students who have been a current student in Summer 2018 - Current term will have their email address, emails, OneDrive files, and calendar items migrated automatically. If you have been a current student during these dates and your email content or OneDrive content is missing. Please submit an IT Service Request.
What is the System Office Unified Office 365 tenant?
The System Office Unified Office 365 tenant is the System Office instance of Microsoft Office 365. Office 365 is a suite of cloud-hosted tools which includes the Office Productivity Suite (Word, PowerPoint, Excel), our email and calendar system (Outlook), SharePoint (Minneapolis College Connect) and Skype for Business.
Why did we migrate to the System Office Unified Office 365 single tenant?
The System Office Unified Office 365 tenant will align our College with the other Minnesota State institutions who have gone to the unified tenant. This will make possible for students and faculty members who are actively affiliated with multiple institutions to access their email, calendars, and other Office 365 resources from one unified portal; streamlining the user experience. The Unified Office 365 tenant will also provide us with enhanced email security and robust Office 365 support from resources at the System Office.
Freeze Dates for Office 365 Applications (Email, OneDrive and SharePoint)
Freeze dates are now over but if you edited OneDrive or SharePoint documents during the freeze the changes may not be in the new tenant.
Employee and Student Email Account Creation and Office 365 Licensing - June 28th @ noon through July 14th
Email account creations - new students and new employees will not have an Office 365 license applied to their account until after the freeze is lifted and the migration is complete. This means new students and new employees will not receive an email address or access to Office 365 (OneDrive, SharePoint, etc.).
SharePoint and OneDrive Freeze July 3rd @ 10:00pm - July 14th
Log in and viewing documents will be allowed but is not recommended. Editing is enabled but changes are unlikely to migrate. If you need to edit a document download a copy to your H drive. Documents can be re-uploaded after the migration is complete.
Email and Office 365 - July 12th - July 14th
Users will not be able to log in using their minneapolis.edu or @go.minneapolis.edu usernames. Once the migration is complete you should use your @go.minnstate.edu or minnstate.edu username to log into Office 365 applications including the Outlook Desktop Client.

Will I lose access to email, OneDrive and other services?
Yes. There were freeze dates listed above. The migration will was Friday July 12th and completed Sunday, July 14th. During the migration process, your Minneapolis College email, OneDrive for Business online files, and other Office 365 services were unavailable. Your mailbox was also unable to receive mail during this process, with the duration varying across users. Any email message sent to your college email address during this time was be returned to the sender.
Outlook Global Address Book (GAL) - used by college employees
Any of the Minnesota State Colleges and Universities that join the new Office 365 shared single tenant will be a part of the Outlook Global Address Book.
All Minnesota State students and employees who are affiliated with a college that is part of the new shared tenant will be visible list and then sort by employees or students. Instructions will be provided on this at a later time. The email address listed for a user is the email they have selected as their Primary email in the StarID Self Service Portal. If an employee works at multiple campuses, that employee's email address will appear in each address book where they are affiliated. This is the same for students. Employees who are also students will have the employee email set as the default, but this can be changed by the user.
Example: A Minneapolis College employee also works at Saint Paul College and they have their SPC email set as primary. Their SPC email will show up in our GAL. This is managed by the user through the StarID Self Service Portal.
Usernames will display with the Last Name, First Name and Middle Initial. Example: Smith, John P
When searching for someone in the Global Address Book search last name, first name.
Shared and Department Emails (Employee Info)
Functionality for shared department emails will change. On Friday July 12th, 2019 no one will be able to log into shared mailboxes directly with a username and password. IT will be changing how shared mailboxes are accessed and setting them up to be auto mapped to users who have full access. When a user has full access to a shared mailbox the account is auto mapped and shows up as an additional mailbox in Outlook underneath your own inbox. Most mailboxes on campus are auto mapped already. A shared mailbox can manually be added by the user on the Outlook Web App.
All shared mailboxes will have a new naming convention so they are easily distinguished in the new shared tenant Global Address Book. All Minneapolis College shared mailboxes will start with MPLS-email@minneapolis.edu. Example: Search using MPLS-Service.Desk@minneapolis.edu
The old address will still work, but please start choosing the mailboxes that start with MPLS.
Any forwarding rules set up on shared mailboxes will be removed and the mailbox will be auto mapped to user accounts. We are sending a targeted email to these mailboxes as well.
IT will no longer be adding Send On Behalf Of and Delegate mailbox permissions to employees college email accounts. These permissions can be set up manually by employees granting access.
Auto mapped mailbox: When someone has Full Access permission to a shared mailbox the shared mailbox will show up as an additional mailbox underneath your personal college email.
Full Access: User has access to view, read, delete emails and create, edit and delete calendar items. The mailbox will be auto mapped to the users Outlook account.
Send As: User has none of the permissions that Full Access has but can send an email from the Shared Email account.

Distribution Lists
All campus distribution lists will start with MPLS-email@minneapolis.edu.
When searching in the Global Address Book put MPLS- in front of the email.

The Safe Links and Safe Attachments service are part of Microsoft's Office 365 Advanced Threat Protection (ATP) for enterprise organizations. Safe Links and Safe Attachments are designed to protect students, faculty, and staff from email phishing attempts, and links/web sites or email attachments that contain malicious software. The service will mostly be invisible to you because it works behind the scenes to protect you.

What if I am a student and an employee at the same college or different colleges.
You will have separate email addresses. One as an employee and one as a student.
Your email address will depend on the college you are attending.
You will have a @go.domain.edu and a @domain.edu. The domain will be whatever college you are attending. Example: Jane Smith is an employee at Minneapolis College and a student at Saint Paul College. Her username to log in as an employee at Minneapolis College will be her StarID@minnstate.edu and her username to log in at Saint Paul College as a student will be her StarID@go.minnstate.edu.
However, her email addresses will be firstname.lastname@minneapolis.edu and firstname.lastname@go.saintpaul.edu.
Student Employee Accounts
Student employees should no longer be using the deptse## accounts or email addresses. All student employees will log into the computers using their StarID and StarID password. All Share Drive access will be granted to their StarID account. Calendar permissions will need to be set up again and shared with their Staff emails. Student employees who need elevated access will need a Staff email.
Yammer
Yammer is not supported in the Office 365 System Office Single Tenant.
